Your Role and Contributions:

  1. Receive Incoming Calls:
    • Answer incoming calls in a friendly, warm, and professional manner, addressing inquiries and routing calls as needed.
  2. Greet In-Person Guests:
    • Greet guests in person with a welcoming and professional manner, ensuring a positive first impression.
  3. Client Event Preparation:
    • Plan and prepare event materials for client events, including seminars and workshops.
  4. Mail/Shipping:
    • Manage all aspects of mail and shipping, including sending out correspondence, tracking deliveries, and handling returns.
    • Ensure accuracy when scanning and saving shipping labels and receipts.
  5. Deliveries Management:
    • Oversee the delivery and follow-up of insurance and annuity documents, ensuring timely and accurate distribution.
  6. Client Birthday Calls and Handwritten Notes:
    • Manage and execute client birthday calls and send handwritten notes to enhance client relationships and demonstrate appreciation.
  7. Office Presentation and Readiness:
    • Maintain office presentation and readiness, including cleanliness and organization.
    • Oversee end-of-day office shutdown procedures and housekeeping tasks.
  8. Client Touch Gift Management:
    • Coordinate and manage client touch gifts, ensuring thoughtful and timely delivery.
  9. CRM Record Keeping:
    • Record notes from every client conversation in CRM (SalesForce), ensuring accurate and up-to-date client information.
  10. Document Storage:
    • Store documents in appropriate client folders on the EFC server and SalesForce, ensuring proper organization and security.
  11. Maintain Orderliness of Storage Rooms:
    • Organize and maintain storage rooms to ensure efficiency and accessibility.
  12. Update Monday.com Assignments Status:
    • Keep Monday.com assignments up to date, tracking progress and ensuring timely completion of tasks.
  13. Team Support:
    • As a member of a small, dynamic team, you may be asked to take on additional tasks and provide support in areas outside of your primary responsibilities as needed. Your flexibility and proactive approach will be essential in helping us achieve our goals and adapt to the evolving needs of the firm.

What You Bring to the Team:

Experience

  • Minimum 2 years in a client service, administrative or office management role
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to manage multiple tasks
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), experience wit CRM software (i.e. SalesForce and Monday.com) is a plus.
  • Proactive mindset with the ability to anticipate needs and find solutions independently
